Founded in 2008 by Thierry de Montbrial under the auspices of the French Institute of International Relations, the World Policy Conference brings together leading figures from all five continents each year in an intimate setting.

From April 22 to 26, 2026, the Capgemini Serge Kampf Campus Les Fontaines, Chantilly, hosted the 18th edition of the conference, themed “Between Fragmentation and Interdependence: Rethinking Global Governance.” With over 500 participants from 45 countries, 110 speakers, more than 200 plenary sessions and workshops, and a message from French President Emmanuel Macron, this edition lived up to the intellectual and diplomatic legacy built over nearly two decades.

The World Policy Conference is an event characterized by a particularly high level of organizational and protocol complexity. Hosting and accrediting delegations from more than 45 countries—including high-level institutional figures such as heads of state, ministers, representatives of international organizations, researchers, and media representatives—requires the highest standards of reliability, traceability, and operational efficiency.

In this context, there are numerous challenges. Managing international accreditations requires rigorous data collection in advance, in multiple languages, and through validation processes specific to each type of participant. The protocol requirements for official delegations demand differentiated access levels and badge management that leaves no room for error. On-site, the packed schedule and the continuous sequence of sessions over five days require active supervision of visitor flows, capable of adapting in real time without ever disrupting the conference proceedings.

  • Registration, logistics, and email marketing platform: In the lead-up to the event, Mediactive Events deployed a centralized platform to manage the entire participant registration process. Custom forms, profile and accreditation management, and email communications: this infrastructure enabled IFRI and the WPC Foundation to precisely manage registration flows while offering participants a seamless registration experience that met the standards of an international forum of this caliber.

  • On-site Badging and Access Control: At the Fontaines campus, Mediactive Events implemented a comprehensive event badging and access control system, tailored to meet the protocol requirements of a conference hosting government and institutional dignitaries. The management of differentiated access levels and the smooth flow at entry points ensured flawless handling of each participant from the moment they arrived on site.

  • Network Infrastructure and Connectivity with Mediactive Connect: To ensure the event’s digital continuity, Mediactive Connect equipped a 1,000-square-meter tent with a comprehensive, dedicated network infrastructure. The setup included a private internet and Wi-Fi network for participants, a separate network dedicated to production, a network aggregation telecom rack combining multi-carrier 4G/5G connections and Starlink satellite, as well as high-density Wi-Fi 7 access points. The entire setup was under continuous 24/7 supervision, with remote support, ensuring reliable and secure connectivity throughout the five-day conference.

Thanks to this integrated approach, the World Policy Conference was able to implement a fully managed accreditation and access control system, allowing the organizing teams to focus on editorial oversight and content quality rather than on the operational challenges associated with managing participant flows.
