From May 12 to 14, 2026, the Panama Convention Center hosted the 12th World Free Zones Organization Congress, bringing together institutional decision-makers, free zone operators, and government representatives from five continents.
For this edition, Publicis Live, which coordinated the event from Dubai and Geneva, entrusted Mediactive Events with the development and deployment of the entire participant management technology infrastructure. This project centered on three interrelated areas: the design of a custom platform, its operational deployment in Panama City, and the training of local teams to ensure on-site autonomy.
An international conference with exceptional operational requirements
Publicis Live is one of the Publicis Group’s event agencies, specializing in the design and organization of corporate and institutional events on an international scale. From Dubai and Geneva, its teams coordinate complex productions involving stakeholders located around the world. For the World Free Zones Organization Congress, Publicis Live served as the event’s general manager, relying on technology partners capable of operating in geographically constrained environments.
Organizing a conference of this nature in Panama City presents operational challenges that few European service providers are equipped to handle. The geographic dispersion of teams, the need to collaborate with local partners, the constraints of intercontinental network infrastructure, and the requirement for on-site training are all factors that demand meticulous planning and the ability to adapt continuously.
A platform developed specifically to address the challenges of the conference
No off-the-shelf solution could meet the specific requirements of this deployment. Mediactive Events developed a dedicated platform that incorporates all the features needed to fully manage the participant experience.

Mediactive Events, a technology provider for international events
The 12th Congress of the World Free Zones Organization highlights a reality faced by many international event organizers: the complexity of an event’s execution is not measured solely by its size, but by the multitude of geographical, technical, and human constraints that must be coordinated simultaneously. Network latency, local partners, language barriers, and multi-site coordination: these are all factors that require an operator capable of anticipating, adapting, and delivering under conditions vastly different from those of a domestic deployment.
It is in this area that Mediactive Events offers distinct added value. For event organizers and agencies facing complex international deployments, Mediactive Events offers an integrated approach that combines custom development, on-the-ground technical expertise, and the ability to adapt to local constraints, no matter where the event is held.
