Mediactive Events: supporting the City of Paris

As part of its efforts to promote and share management practices, the City of Paris organized the conference “Let’s Share Our Management Practices.” The event aimed to present the city’s management model, its guiding principles, and the practices implemented by teams on a daily basis, while also providing opportunities for discussion and collaborative work.

Designed from the outset as an innovative participatory format, the event combined presentation segments with group work sessions, bringing together both on-site participants and remote attendees simultaneously. This format required a hybrid organizational structure capable of supporting content delivery, interactivity, and the coordination of discussions.

In this context, Mediactive designed and operated a system tailored to the specific requirements of this unique format, drawing on several of its solutions.

A hybrid approach suited to a participatory format

Mediactive, in partnership woth the City of Paris, developed a system that combined live streaming with interactive tools. This approach was tailored to the nature of the event, which alternated between key presentations and collaborative work sessions. The challenge was to ensure a shared framework while maintaining a consistent experience for all participants, regardless of how they chose to participate.

  • The Mediactive teams handled the broadcast of the conference using the Vodalys platform. The system ensured seamless management of the video feed from the speaker’s podium through to its simultaneous broadcast in the venue and online, while facilitating collaboration between the various platforms, on-site equipment, and technical infrastructure.

  • The Wisembly platform organized all the interactive features. By bringing together collaborative tools, it made it easier for participants, both on-site and remote, to get involved.

    The system includes:

    • a real-time moderated chat, with the ability to manage and forward questions to the speakers,
    • votes and word clouds to gather participants’ feedback and practices,
    • a satisfaction survey distributed at the end of the conference.

    In total, more than 1,300 interactions were recorded on the platform, reflecting the participants’ engagement throughout the event. The presence of a Mediactive project manager on site facilitated coordination between event facilitation, moderation, and technical production, providing support throughout the live event.

  • To extend the time for group discussion, the Blastream platform was used to set up remote one-on-one discussion spaces. Randomly generated rooms allowed participants to continue their discussions in smaller groups.

    These spaces were integrated directly into the Wisembly environment, providing participants with a seamless and consistent experience, with no disruption between plenary sessions and discussion segments. This integration of the various platforms facilitated a unified presentation of the event for the City of Paris, while meeting the specific requirements of the participatory format.

Mediactive solutions designed to support the event’s objectives

For this hybrid conference, the solution implemented had to meet several simultaneous requirements: ensure the broadcast of presentations, enable real-time interaction, and facilitate coordinated collaborative discussion sessions, while accommodating both on-site and remote participants.

By articulating Vodalys, Wisembly and Blastream Within a single operational environment, Mediactive has implemented a system capable of supporting all of these use cases.

This use case demonstrates Mediactive’s ability to tailor its solutions to specific event formats by integrating various tools into a comprehensive framework. By building the system around interoperable solutions, Mediactive supported a participatory format that required broadcasting, interactivity, and coordination of exchanges.

Using this method, the program helped foster cohesion between the presentation sessions, group work sessions, and one-on-one discussions, while ensuring that both participants and the organizing teams had a clear understanding of the overall process.

The project is being managed in close collaboration with teams from the City of Paris

The implementation of this initiative was based on meticulous preparation carried out in close collaboration with the City of Paris’s municipal teams. Discussions with Emmanuelle Faure, Head of Mission Management; Solange Préaux, internal coach; and Marie-Aude Montheil, Project Manager for Engagement and Managerial Innovation, made it possible to translate the local government’s managerial objectives into a customized event program.

By taking into account aspects of participation, collaboration, and hybridization from the outset, Mediactive helped develop a format that combines oral presentations, participant testimonials, and pair work. This collaborative effort made it possible to align technical choices with the educational and managerial objectives set by the City of Paris.
