To mark the 10th anniversary of Hyvolution, an international event dedicated to hydrogen organized by GL events, Mediactive Events supported the organizers in designing and coordinating the reception and participant management systems.

Originally conceived as a hybrid format combining a main trade show with an associated conference, the event required an organizational structure capable of simultaneously managing the centralized coordination of visitor flows and the segregation of actionable data for each organizing entity.

The event attracted nearly 12,100 professionals, with 400 exhibitors and brands participating, representing 65 countries, 30% of whom were international visitors. The setup included 25 international pavilions and delegations, as well as an associated conference, GAS Analysis, organized by the French College of Metrology (CFM), which was hosted within the trade show with its own dedicated areas and content.

A hybrid and modular design by Mediactive Events

To address these challenges, Mediactive Events built its solutions around Aloha Events, the group’s event CRM management platform. This approach facilitated the centralization of registration, invitations, and access workflows for attendees of both the trade show and the conference. The tool also ensured the required separation of databases for the two events while maintaining a common entry point and a shared badge, with the goal of creating a unified visitor experience and distinct operational tracking for the organizing teams.

This approach facilitated coordination across the event’s various formats, while ensuring a clear connection between the main trade show and the associated conference. Mediactive Events thus enabled organizers to track attendance, participant demographics, and logistical data, thereby ensuring seamless operations across all venues.

Centralized management and interoperable solutions

Against a backdrop of the hydrogen market’s gradual expansion, Hyvolution 2026 brought together an audience composed primarily of stakeholders directly involved in project implementation: manufacturers, energy companies, mobility operators, financiers, and institutional representatives. Discussions focused on the operationalization of applications and the viability of business models reaffirmed the trade show’s position as the leading platform for the core of the ecosystem. In this context, effective management of attendee flows and data reliability were key factors.

To address these challenges, Mediactive Events structured the entire system around a single management hub, ensuring consistency among the various solutions and the teams on-site. The Aloha Events platform served as the foundation of the system, supplemented by specific modules designed to manage:

  • Visitor and exhibitor flow management: Every participant—whether attending the trade show or the associated conference—was tracked within a single data stream. Access controls were tailored to different profiles, badges were standardized while maintaining event-specific distinctions for reporting purposes, and real-time monitoring of visitor flows facilitated on-site adjustments to traffic management and ensured the safe movement of participants.

  • Consolidation and analysis of operational data: The data collected for the trade show and the conference were separated, providing organizers with a comprehensive and distinct overview of their key attendance metrics. This approach enabled the generation of actionable insights for each event.

This oversight simplified administrative and logistical management, minimized the risk of conflicts between systems and teams, while ensuring smooth operations at the entry points. The presence of a Mediactive Events project manager on site strengthened oversight by maintaining constant communication with the GL events and CFM teams and ensuring that all technical and organizational systems operated in a consistent and structured manner.
